RV Village Rental Agreement
These terms and Conditions are the contents that our shop rents to people living outside of Japan, and the English is a translation only.
Contents and conditions not described in these shall company with our rental agreement in Japanese.
If there is a discrepancy between the contents of the rental car, the usability of the facilities, and the contents described on the website, etc., the actual product will take precedence, and Japanese customs will take precedence. Even if the customer suffers damage due to this, we will not be held responsible.
In addition, if a dispute arises regarding the rights and obligations under this Agreement, the summary court that has jurisdiction over the location of our head office or branch office shall be the court of jurisdiction.

The security deposit is paid on day of pickup and at the time of return the car is checked for damage. Any extra charges will be deducted from the security deposit. These may include but not limited to any damage to vehicle and equipment, cleaning fees or unfuelled vehicle.-Please return the vehicle with a full tank of fuel. Any tire damage or puncture and or windscreen damage is the renter’s responsibility.
1. Reservation
When renting a rental car, the renter must carefully check the rates, vehicle condition, compensation details,and terms of use presented by our shop before making a reservation. A reservation is established when therenter pays the price requested by our shop.Our shop will prepare a vehicle according to the reservation details concluded with the renter, but due tovehicle breakdown, damage due to an accident, bad weather, or disaster, it may not be possible to rent thevehicle according to the reservation details. In that case, we will prepare an alternative vehicle or alternativemethod as much as possible, but if this is not possible, we will cancel your reservation and refund the usagefee that you have paid in advance.If the renter will be delayed in returning the rental car, please contact us as soon as possible. You will berequired to pay an additional fee when you return the vehicle.
2. Cancellation
Please contact us soon as possible if you want to cancel. The advance payment will be refunded after deducting the cancellation fee and the prescribed administrative fee (1,100 yen).
From 45 days to 15days before the rental start date- 10% of the total rental fee.
From 14 days to 2 days before the rental start date- 50% of total rental fee.
The day before rental- 80% of total rental fee.
On the day of rental- 100% of the total rental fee.
During Rental Period- If the renter decides to cancel or return the camper earlier than contract rental term end date the balance of remaining rental fee is not refunded.
Refunds. We will refund the amount in Japanese yen to your designated bank account or credit card account.
Refunds may take from several days to several months depending on your financial institution.
RV Village is not liable for any loss due to bank fees or currency conversion. Security deposit paid by credit cardwill not be refunded in cash.

3.1. Insurance
All rental cars are covered by comprehensive automobile insurance (optional insurance), so you can restassured in the unlikely event of an accident. The insurance premium is included in the basic price, so you can be covered without any formalities.
*Optional insurance applies only to car accidents on public roads (accident proof required). Insurance claims may not be paid for accidents on private land, campgrounds, or within the same group, depending on the insurance company's judgment. For bodily injury liability insurance: No limit.
For property liability insurance: No limit.

3.2. Non Operation Charges(Business compensation)
In case we need to repair the car due to an accident, we will charge the below amount as a part of compensation for business lost during the repair period, regardless of the degree of damage or the time required to repair.
Vehicle driven back to the office: 50,000 JPY.
Other cases (i.e. the vehicle cannot be driven): 100,000 JPY.
And, In addition to the above, if it becomes impossible to rent to the following customers. Serious accidents that it impossible to repair the vehicle.
10,000 JPY per day to maximum of 30 days.
Vehicle driven back to the office: 50,000 JPY.
Other cases (i.e. the vehicle cannot be driven): 100,000 JPY.
And, In addition to the above, if it becomes impossible to rent to the following customers. Serious accidents that it impossible to repair the vehicle.

4.1. Security Deposit
The security deposit must be deposited with our store at the time of rental, and will be used to pay for any damages that occur beyond normal use due to customer use. These include, but are not limited to, extension costs, unfilled gasoline costs, ETC card usage costs, accident and damage repair costs, traffic violation fine replacement costs, and cleaning costs. If this deposit is not sufficient, additional fees will be charged.
Unused deposits will be refunded. Refunds may take anywhere from a few days to several months from the rental return date, depending on your financial institution. Refunds will be made in Japanese Yen and will be processed by credit card only. If charges are applied from the security deposit, a 5% credit card fee will beadded.

The deposit should be provisional authorization from your cresit card at starting rental day.This will be cancelled if you have no problems with returning the car. (after about 7 days)
In the event of an accident, the customer will have to pay a maximum of 700,000 yen forType-A, B and 600,000 yen for Type-E, K.
Example 1.
The vehicle(Type-A,B) has been involved in an accident with another vehicle(also a building etc.) and both are severely damaged. The vehicle is undrivable and repairs will take him over 30 days. (150,000JPY vehicle deductible + 150,000JPY third party property deductible + 100,000JPY non operation charge (can not drive vehicle) and 10,000JPY × 30days).Total = 700,000 JPY payable (300,000 JPY payable from the deposit, )
Example 2.The vehicle has been involved in an accident with another vehicle(also a building etc.) The repair fee for a rental car is 50,000JPY. The repair fee for another car(also a building etc.) 100,000JPY.The rental car was slfpropelled and returned.(50,000JPY vehicle repair fee + 100,000JPY another vehicle(also a building etc.)+50,000JPY non operation charge )
Total = 200,000JPY payable from the deposit.
Example 3.
In addition, if there is only damage to parts of the rental car, the customer will be responsible for the vehicle exemption (Type A, B = 150,000 yen / Type E, K = 100,000 yen) and will not be responsible for any further repair costs.

Non-Operation Charge Waiver Supplemental Insurance (NOCW)
If you subscribe to the following additional coverage, your liability in the event of an accident will be reduced.
Type-A,B = 4.400 yen x number of days of use (up to 20 days) Deposit = 200,000 yen
The amount paid by the customer in the event of an accident will be reduced to amaximum of 250,000 yen.
Type-E,K = 3,300 yen x number of days of use (up to 20 days) Deposit = 100,000 yen
The amount paid by the customer in the event of an accident will be reduced to amaximum of 150,000 yen.
*If the accident is caused by a driver under the age of 26, 50,000 yen will be added to each deductible amount.
*Even if the vehicle is subject to NOCW, if the vehicle overturns due to the customer's driving, a non-operation charge will be incurred.
*If multiple accidents occur during the rental period, we will charge you for the number of accidents.
*Even if you subscribe to NOCW, accidents and damages that fall under "6. Caution" below will not be covered by insurance and will be the responsibility of the customer.
*Even if the vehicle is subject to NOCW, if the vehicle overturns due to the customer's driving, a non-operation charge will be incurred.
*If multiple accidents occur during the rental period, we will charge you for the number of accidents.
*Even if you subscribe to NOCW, accidents and damages that fall under "6. Caution" below will not be covered by insurance and will be the responsibility of the customer.
5. Responsibilities
5.1. You are expected to operate the vehicle in accordance to this rental agreement (and the main insurance agreement policy of the company written in Japanese from which this was translated). If a traffic accident is caused under the following conditions or you have failed to comply with your part of responsibility the insurance coverage shall not be applied and you are to indemnify for any amount, which shall be responsible for you to our company.
5.2. Failure to comply with these required procedures:
In conditions such as,
-When traffic law was violated.
-When the rented vehicle was driven under the influence of alcohol or drugs.
-When the rented vehicle is used during an unauthorised extended period of time.
-When driven by another person other than the agreed driver and/or authorised drivers.

6. Caution
6.1. When there is an accident or breakdown and the vehicle is unusable RV Village may provide another vehicle if one is available at the discretion of management. When you cannot continue the journey due to a mechanical breakdown and there are no other vehicles available you will be refunded the balance of the rental fee. RV Village will not refund for out-of-pocket expenses relating to alternative transportation, change of itinerary, food or accommodation that you arrange. The cost of any repair to the vehicle and or replacement of damaged or missing items are to be determined by the mechanic appointed by RV Village and thus determined by the rental company not the renter.
6.2. Every effort will be made to ensure that the vehicle is available as booked. In special circumstances where the vehicle is unavailable due to mechanical failure, damage from previous guests, etc., we will provide another motorhome of the same type or an upgrade at no additional charge. If the customer does not use a substitute camper or if the shop cannot prepare a substitute camper, the car rental agreement between the shop and the customer will be void. In that case, we will refund the amount equivalent to the advance payment. However, any out-of-pocket expenses associated with alternative transportation or accommodation arranged by you will not be refunded. In addition, our shop cannot compensate for the damage caused by the customer.
6.3. All of our campers are checked before and after rental for evidence insect infestation. You will not be refunded the rental fee for presence of ants, flies, mosquitos, spiders, fleas, bed bugs etc, and we may charge a fee for the eradication of such insects.6.4. During the contract, you are responsible for the maintenance of the parts and equipment accompanying the vehicles. You need to cover the cost in case a theft or loss occurs.
6.5. Any damage or loss of personal property during the rental contract period is not the responsibility of the rental company.
6.6. Any personal injury or death during the rental contract period is not the responsibility of the rental company.
6.7. You are responsible for any accidents that occur when, with an ETC installed, you drive pass a toll gatewith a speed greater than 20km per hour.6.8. If you are over the term of rental without a formal reason or contact, we will take legal action for fraud,embezzlement and/or robbery.
6.9. The insurance policy will not cover expenses relating to damage or loss under these situations. Customersshall cover damages caused under situations as below.
-Acting against the terms and conditions for rental. Examples; "drinking", "doping", "unapproved extension","operation by those other than the borrower and specified drivers ", "sublease", "driving without a license",“settlement out of court without the consent of our company”, etc.
-When it corresponds to the disqualification of insurance policy, or when payment is exempted. Examples,“intentional damages”, “drinking”, “doping”, “damage to tire caused by blowouts"," windscreen damage”,“loss of wheel cap”, "filling with incorrect fuel type", etc.
-Predetermined procedures, such as contacting the police and our company, is not taken after an accident(Please contact us and the police, regardless of the size of damage, whether or not there are other passengers and/or whether you are the assailant or the victim).
-When there is a fault with use and management. Examples, "Parking with the key attached and a theft occurs","Damages resulting from nuisance parking etc.", "corruption of indoor equipment", "loss of general tools","damage caused by the handling and improper installation of chains and carriers", "damage caused by a run inthe seashore, a dry riverbed, etc.", etc.

7. Accidents
A) If you are involved in an accident you must,
7.1. It is mandatory for you to report an accident to the police and us at the site of an accident, regardless ofwhether or not it is serious, whether or not there is a third party involved in it, or who is at fault.
7.2. Get name, address and phone of third party and/ or any witnesses. Take photographs of damagedvehicle/s and licence plates. Take note of the exact time and location.
7.3. In case of an accident, we will pass your personal information to the insurance company and police.
7.4. Do not attempt to drive the damaged vehicle unless you have permission from RV Village.

7.3. In case of an accident, we will pass your personal information to the insurance company and police.

B) Replacement Camper
7.5. If you cannot continue your journey due to damage to the vehicle, a replacement camper may beprovided to you if one is available. You must return to our office at your own expense or RV Village will bring itto you for an extra delivery fee.
7.6. You must pay a new security deposit for the replacement vehicle.
7.7. If there is no alternative vehicle available whether or not you will be refunded is determined by degree offault in regard to the accident. This is determined by police reports and the insurance company. If itdetermined that there is 0% fault by the contracted rental party then there is refund of 100% of the balance ofrental fee based on a percentage of days remaining for the contracted rental period. When it is determinedthat there is any fault of contracted rental party then there is 0% refund of the balance of rental fee and therental contract is terminated.
7.8. RV Village will not refund for out-of-pocket expenses relating to alternative transportation, change ofitinerary, food or accommodation that you arrange.
7.6. You must pay a new security deposit for the replacement vehicle.
7.7. If there is no alternative vehicle available whether or not you will be refunded is determined by degree offault in regard to the accident. This is determined by police reports and the insurance company. If itdetermined that there is 0% fault by the contracted rental party then there is refund of 100% of the balance ofrental fee based on a percentage of days remaining for the contracted rental period. When it is determinedthat there is any fault of contracted rental party then there is 0% refund of the balance of rental fee and therental contract is terminated.
7.8. RV Village will not refund for out-of-pocket expenses relating to alternative transportation, change ofitinerary, food or accommodation that you arrange.
C) Time Frame for Settlement of Rental Contract Liability Claims
7.9. Decisions about liability in case of an accident are determined by insurance company and other third party not RV Village. The time frame for these decisions are unknown and may take months or years. RV Village cannot refund any balance of rental fee or security deposit until such a decision has been made.
7.10. Upon receiving the decision of degree of liability from police/ insurance company or other third party any money owing the contracted party will be paid immediately.
7.11. The contracted rental party must assist in providing requested information relative to the claim.

8. Fines and Fees
Parking Fines:
When a borrower performs a parking violation, the borrower needs to pay the fine and expenses for thingssuch as tow truck usage.I
f our shop paid the parking violation fine or cost on your behalf, we will need to refund the amount and the agency fee of 11,000JPY to our shop.

Traffic Violations:
All traffic infringements, violations and fines are the responsibility of the borrower and must be paid to the appropriate authority. Failure to do so may result in further legal action under Japanese law.
Cleaning Charges:
Dirt which cannot be wiped clean: 2,200 JPY per item
Ruined bedding, sheets and/or carpet of the car: 2,200 JPY per item
Interior of the vehicle which is severely soiled from dirty shoes, cooking, odours, smoking, toilet blockage etc:33,000 JPY
Broken/ Lost Items: Actual cost ( Example: Lost car navigation 33,000 JPY, Broken side awning 220,000 JPY ).The above mentioned items are not covered by the vehicle accident indemnity against liability system or NOCW.
Ruined bedding, sheets and/or carpet of the car: 2,200 JPY per item
Interior of the vehicle which is severely soiled from dirty shoes, cooking, odours, smoking, toilet blockage etc:33,000 JPY
Broken/ Lost Items: Actual cost ( Example: Lost car navigation 33,000 JPY, Broken side awning 220,000 JPY ).The above mentioned items are not covered by the vehicle accident indemnity against liability system or NOCW.

*We take a full copy of Your passport and your driver license and international driver permit before departure.
*Please help with disposal of rubbish and toilet waste.
*Driver seat is OK with shoes but no shoes to be worn in the rear (camping) part of the vehicle.
*No smoking or cooking oily food in the vehicle.
